Proximity Join lets you use the Microsoft Teams app on your laptop or mobile to quickly connect to a Teams Rooms enabled i3CONNECT interactive display. This allows you to join a meeting, or add the current room even if it was not invited. This guide explains how to enable Bluetooth and ultrasound beaconing for the best Proximity Join experience.
Proximity Join is ideal for hybrid meetings where you want to walk into a room and instantly connect your device to the room’s display and audio. It’s not needed if you’re joining meetings from your personal device only.
Before you start

Make sure you have admin access to the Teams Rooms device or management portal.

Confirm your i3CONNECT display is running the latest firmware and Teams Rooms app.

Bluetooth must be supported and enabled on both the room device and user devices.

Ultrasound beaconing is only available on Teams Rooms on Windows (not Android).
Instructions

Enable Bluetooth beaconing

Open the Teams Rooms Pro Management portal (MTRW) or local device settings.

Find the option for Allow Bluetooth beaconing and turn it on.

(Optional) Enable Automatically accept proximity-based meeting invitations for seamless joining.

(Optional) Enable Remote control from personal devices if you want users to control the room from their own device.

Enable ultrasound beaconing (Windows-based Teams Rooms only)

In the Pro Management portal, turn on Enable ultrasound beacon.

Save your changes and restart the Teams Rooms device if prompted.
Ultrasound is not available for Teams Rooms on Android; only for Windows-based MTR.
Troubleshooting

Check that Bluetooth is enabled on both the room and your device.

For ultrasound, ensure you’re using a Windows-based Teams Room and the feature is enabled.

Make sure your device and the Teams Room are in the same tenant or a trusted external organization.
